One Live System for Rodeo Entries, Scoring, Results and Season Standings
A rodeo runs on entries, draws, check-ins, timers, judges, payouts and, across a season, points. Overseas IT Solution built Rodeo ArenaLive, a multi-tenant web platform that takes each rodeo from setup to published results, keeps every score correction on the record, and turns official placings into season standings and jackpot payouts.
Project Overview: From the Entry Window to the Season Standings
Rodeo ArenaLive runs the full life of a rodeo. Organisers set up rodeos and events, competitors enter and form buddy groups, the office generates and publishes the draw, staff check competitors in, timers and judges record each run, and the head secretary approves the results that go up on the leaderboard and into the payouts.
Above the single rodeo sits the association season. Rodeos belong to a season, official placings earn points or dollars under the association's own rules, and the platform keeps a standing for every competitor in every event category.
The goal was not a digital scoresheet. It was one source of truth for results that the office, the arena crew, the competitors and the association could all trust.
Rodeo results pass through many hands. Several timers can record different times for the same run, judges score differently by design, results get corrected after they are final, and season points depend on every one of those numbers being right.
One platform where each run produces a single official result, every change to it is audited, and leaderboards, season points and jackpot payouts all read from that same result.

The Business Challenge: Results That Have to Be Right, Live
A rodeo produces results fast and under pressure. Runs follow each other in seconds, several officials record the same run, and competitors and spectators want to see placings straight away. After the rodeo, those placings decide prize money and season points.
Without a purpose-built system, the same problems keep coming up:
Officials disagree.
Two timers can record different times for the same run, and someone has to decide which one stands without losing the other.
Every discipline scores differently.
Timed events rank the fastest time, roughstock ranks the highest qualified ride, and judged events such as cutting combine several judges' marks.
Final results still change.
Corrections happen after a result is approved, and every report, payout and point total built on it has to follow.
Season points are easy to get wrong.
Best-of rules, dropped rodeos and re-published results make manual point tracking slow and error-prone.
Entries and schedules are complex.
Competitors ride on different days, travel in groups, turn out or get a doctor or vet release, and still need a fair, traceable draw.
Many associations, one platform.
Each association needs its own data, staff, rules and branding, fully separated from the others.
“When a placing decides prize money and season points, ‘close enough’ is not a result.”
Project Goals
| Goal | Problem it answers |
|---|---|
| One official result per run | Conflicting timer entries and no clear source of truth |
| Scoring that fits each discipline | Timed, roughstock and judged events ranking by different rules |
| An audit trail for every correction | Results changing after approval with no record of why |
| Automatic season points and standings | Manual point tracking, best-of rules and dropped rodeos |
| Fair, traceable draws and check-in | Multi-day entries, group travel and turnouts |
| Separate, secure space for each association | Many organisations sharing one platform |
The Solution: Every Run Becomes One Official Result
Overseas IT Solution designed Rodeo ArenaLive around the official result. Scoring produces it, and everything else, from leaderboards to season points to jackpots, reads from it rather than calculating its own version.
Set up: Event Lifecycle & Schedules
The association creates rodeos and events, with schedules checked so registration opens before it closes and closes before the rodeo starts.
Enter: Registrations & Buddy Passes
Competitors register, opt into jackpots and form buddy passes of up to four people.
Draw and check in: Run Day & Position
The draw assigns each run to a day and position, and check-in is recorded per run.
Score: Discipline-Specific Engines
Timers and judges submit their marks, and the right scoring engine for the event turns them into a result.
Approve and publish: Conflict Review & Leaderboards
The head secretary resolves conflicts, approves and finalises results, and publishes them to the leaderboard.
Count: Payouts & Season Standings
Published placings flow into payouts, jackpots and the season standings.
Key Features and Capabilities
Key Features: Running the Rodeo
Rodeo and event management
Rodeos move through clear stages, from Draft to Open, Live, Closed and Completed, and events follow their own lifecycle through to published results. Each event can run in standard rodeo format or divisional format, with its own scoring method, rounds and penalties.
Entries, buddy passes and draws
Competitors register for events and can group up in buddy passes of up to four, with invitations to accept or decline. The draw places buddy pass members on the same day, restarts draw numbers each competition day, and marks entries that do not fit an overbooked day as excluded. Once the draw is generated, buddy passes lock. Stock draws for animals can be published separately.
Check-in per run
Check-in is recorded for each run rather than each registration, so a competitor entered on several days can turn out on one and compete on another. Doctor releases, vet releases and notified turnouts automatically take a run out of scoring.
Scoring for every discipline
Four scoring engines cover the arena: timed events add penalty seconds and rank the fastest time, roughstock adds the base score, subtracts penalties and requires the minimum ride time, judged events sum or average the judges' marks, and a legacy points engine supports simple points events. Ties share a place, so placings run 1, 2, 2, 4.
Head secretary review
When timers disagree, the result is flagged as contested and the head secretary picks the submission that stands. The others are marked rejected and kept, never deleted. Results move from Pending to Approved to Finalized, and changing an approved result requires an override with a written reason.
Live leaderboards and all-around
Leaderboards update in real time over SignalR as results are approved. Divisional timed events build their 1D, 2D and 3D brackets from the fastest time with a configurable gap (0.5 seconds by default), multi-round events keep an aggregate standing, and a rodeo all-around leaderboard totals each competitor's results across events.
Payouts and optional jackpots
Each event can define its own payout split, such as 50%, 30% and 20%. Payments taken on site by cash or cheque are recorded in an append-only ledger, where a correction is a reversal entry rather than an edit. Events can offer an optional jackpot with its own fee: opted-in competitors are ranked on a jackpot-only leaderboard and paid from a separate pool, using the same official results and no extra runs.
Key Features: Across the Season
Seasons and point rules
Associations group rodeos into seasons and configure how placings earn points, with event-specific rules taking priority over season defaults. A season can track points earned or dollars earned, so it fits both points-based and money-based associations.
Best-of rules and dropped rodeos
If a season counts only a competitor's best rodeos, the platform groups all results from one rodeo into one slot, ranks the slots, and marks the top results as counting. Dropped results stay on record, so competitors can see why they did not count.
Season standings
Each competitor has a standing per season and event category, showing both total and counting points. Invalid results such as no time, no score, disqualification, scratch or turnout earn no points.
Cutting and other judged events
Cutting runs as a judged event: each judge's marks are recorded separately, combined with the base score and penalties, and held as pending until the head secretary approves them.
Key Features: The Platform
Multi-tenant by design
Each association works in its own tenant, with its own users, staff, settings, currency, time zone, logo and colours. Subscription plans set limits such as users, rodeos and events per rodeo.
Roles at three levels
Platform roles support the service, tenant roles cover administrators, managers, head secretaries, timers, judges, competitors and viewers, and rodeo staff assignments control where each official can work. A timer can only enter scores at rodeos they are assigned to.
Security and audit
Sign-in supports email verification, one-time codes and two-factor authentication. Activity logs, security logs, login history and change history record who did what.
Communication
Notifications, messages and email and SMS templates keep competitors and staff informed, and a public portal shows results to spectators.
Technology Stack and Architecture
In plain terms
Rodeo ArenaLive is a secure web application that the office, the arena crew and competitors use from any browser. All of it runs on one shared system with each association's data kept separate, which is why a score approved in the arena appears on the public leaderboard within moments.
For technical readers
The backend is an ASP.NET Core Web API built in Clean Architecture layers (Api, Application, Domain, Infrastructure). Entity Framework Core handles data access with code-first migrations, a global query filter scoped by tenant, soft deletes, audit fields on every entity, and row versions for optimistic concurrency. SignalR pushes leaderboard updates, score conflicts and draw publications in real time. The frontend is a React single-page application written in TypeScript and built with Vite. The API exposes 223 endpoints across 32 controllers.
| Layer | Technology |
|---|---|
| Backend | ASP.NET Core Web API, Clean Architecture |
| Data access | Entity Framework Core, code-first migrations |
| Real-time | SignalR |
| Security | JWT authentication, claims-based permissions, two-factor sign-in |
| Caching | Distributed cache for leaderboards |
| Frontend | React, TypeScript, Vite |
Implementation Approach
Learning the sport
The data model uses the language of the arena: go-rounds, aggregates, turnouts, doctor and vet releases, stock draws, required ride time, divisions and all-around. Each scoring engine follows the rules of its discipline.
Making the result the single source of truth
The official result holds the placing, and nothing downstream recalculates it. Season points, jackpots and payouts read the placing that the scoring engine stored.
Permissions, not hard-coded roles
Each action is a named permission such as entering a score or generating a draw. Roles bundle permissions, and rodeo staff assignments decide where they apply.
Extending without breaking
Before seasons and jackpots were added, the team audited the existing scoring against the new design. New fields default to off or empty, so existing rodeos and events kept working unchanged.
Challenges and Solutions
Conflicting timers
When timers submit different values for the same run, the result is held as contested until the head secretary selects one. Rejected submissions stay in the record for the audit trail.
Judges who are meant to disagree
Conflict checks are switched off for judged events, so different marks from different judges combine into one score instead of raising false alarms.
Corrections after the fact
An override records the previous value and the reason, then recalculates placings, aggregates and the leaderboard. Season points follow with a reversal entry and a replacement, so a result corrected from 10 points to 6 leaves a clear trail: +10, −10, +6.
Re-publishing without double counting
Results can be published more than once. The point engine compares what it has already recorded and adds nothing when nothing changed.
Fast leaderboards that are never stale
Leaderboards are cached for two minutes, and the cache is cleared the moment a score changes.

Why It Matters
Rodeo ArenaLive gives associations one trusted record of every run, from the arena to the season standings. Results are live for competitors and fans, and accountable for the office and the association.
Trusted results
One official result per run, with every change recorded.
Live for everyone
Leaderboards update in real time as results are approved.
Built to scale
Many associations share one platform, each with its own data, staff and rules.
Conclusion
Rodeo ArenaLive started with the problem every rodeo office knows: results that pass through many hands, change after the fact and decide money and season points. The answer was one platform where scoring produces a single official result, every correction is audited, and leaderboards, payouts, jackpots and standings all read from it. The result is a faster office on rodeo day and a season standing that associations can stand behind.
If your sport or event still runs on separate scoresheets, spreadsheets and point tallies, a purpose-built platform can turn them into one live, trusted system.
