Taking the Cattle Sale Barn Online, From Consignment to Settlement
Cattle auctions depend on trust, speed and good video of every lot. Overseas IT Solution built a cattle auction web application that runs online and live auctions in one platform, with dedicated portals for buyers, field representatives and auction administrators, and a cloud media pipeline that streams lot videos smoothly to every bidder.
Project Overview: A Sale Barn That Runs in the Browser
The Cattle Auction Web Application is a complete platform for running online and live cattle auctions. It gives each group of users its own workspace: a public site where visitors browse the catalog and market reports, a buyer area for bidding and settlements, a Rep portal for field representatives who bring in consignments, and an administrator portal that controls auctions, approvals, contracts and finances.
The aim was not just to put a catalog on the web. It was to move the whole auction process online, so a buyer several states away can watch a lot's video, bid in real time against the floor, sign the contract and settle the invoice without a phone call.
Consignments, lot media, live bidding, clerking, contracts and settlements are usually handled across phone calls, paper sheets and separate tools, which limits who can bid and slows down every sale.
One multi-tenant auction platform that follows each lot from the rep's first consignment entry through approval, live bidding, signed contract and final settlement.

The Business Challenge: Auctions Limited by Distance and Paperwork
A cattle sale involves many people and many steps. A rep visits a ranch and lists the cattle. Photos and videos are taken. The lots are checked and catalogued. On sale day the auctioneer calls bids from the floor and from remote buyers while a clerk records every sale. Afterwards come contracts, health papers, transport, buyer invoices and seller payouts.
When these steps rely on paper and disconnected tools, auction businesses face the same problems:
Buyers are limited to who can attend.
Without a reliable online channel, sales depend on the buyers who can get to the barn or reach someone by phone.
Lot media is hard to share.
Videos shot on phones are large and in mixed formats, so they buffer, fail to play or never reach buyers at all.
Floor and online bids are hard to combine.
Clerks need to record floor bids, online bids and final outcomes in one place, at auction speed, without mistakes.
Paperwork slows the close.
Contracts, signatures, settlements and seller payouts take days when they are handled by hand.
Reps lack visibility.
Field representatives cannot easily see how their consignments are performing or which deadlines are coming up.
“Every buyer who can't see the lot clearly or bid in time is a lower price for the seller.”
Project Goals
| Goal | Problem it answers |
|---|---|
| Let buyers bid from anywhere in real time | Sales limited to buyers who can attend in person or by phone |
| Stream lot video reliably | Large, mixed-format phone videos that buffer or fail to play |
| Combine floor and online bidding in one console | Clerks juggling floor bids, online bids and outcomes separately |
| Digitise contracts and settlements | Paper contracts and slow buyer invoicing and seller payouts |
| Give reps their own portal and KPIs | No clear view of consignments, sales or deadlines in the field |
| Support more than one auction business | A single-company tool that could not be offered to other sale barns |
The Solution: One Flow, From Consignment to Settlement
Overseas IT Solution designed the platform around the life of a lot. Each step hands its data to the next, so a consignment entered once by a rep carries through to the catalog, the auction, the contract and the settlement.
Consign: Consignment & Lot Setup
A rep or admin creates the consignment and enters sale conditions, weights and lot details.
Upload media: Cloud S3 Storage
Photos and videos of the cattle are uploaded to AWS S3.
Process video: Cloud Transcoding Pipeline
Videos are transcoded in the cloud into web-optimised MP4/HLS formats.
Deliver: High-Speed CDN Edge Delivery
Processed media is served through a CDN for fast, smooth playback.
Approve and publish: Admin Review & Catalog
Admins review the lot and its video, and approved lots appear in the public catalog.
Bid: Real-Time Online & Floor Bidding
Registered, approved buyers view lot details and bid online or on the floor.
Run the sale: Live Auctioneer & Clerk Console
Auctioneers and clerks manage the live auction and finalise each lot.
Close: Contracts, Settlements & Reports
Contracts, settlements, transactions and reports complete the post-auction process.
Key Features and Capabilities
Key Features: Auctioneer and Clerk Console
Dual-mode control panel
One screen works in Auctioneer Mode, with a large asking-price display and quick bid increment selectors, or in Clerk Mode for entering floor bids against a floor bidder number. An Undo Last Bid control corrects mistakes immediately.
Pricing that matches how cattle are sold
A pricing mode switcher lets each lot be sold per CWT (per hundredweight) or per head, matching how cattle are actually priced in the sale ring.
Lot control and finalisation
Auctioneers move through the sale with Previous Lot, Next Lot, Jump to Lot and Reset Lot Session controls, and close each lot as SOLD, PASSED or NO SALE. A live bid history ledger records every bid and can be exported to CSV.
Live video, announcements and sponsors
Live video streams the sale to online buyers. Clerks can broadcast polls and announcements to everyone bidding, and rotating sponsor banners create advertising space during the sale.
TV display
A large-screen view shows the live auction status in the sale barn, so the floor sees the same lot, price and status as online bidders.
Key Features: Buyer Experience
Catalog and lot details
Visitors browse cattle lots for upcoming and ongoing auctions and open each lot to see its description, photos, video and bidding status. Public market reports show trends and past sale results.
Buyer approval and buyer numbers
Registered buyers see their approval status and buyer number card, and can request a buyer number or send a reminder to the auction team. Only approved buyers can bid, which protects sellers and the auction house.
Live bidding console
Buyers bid with increment controls and see the current highest bid, with clear "You are highest bidder" and "Outbid" states. Audio alerts sound for a new highest bid, being outbid and the final countdown, and a live ticker shows each bid by buyer number, amount and time.
Buyer dashboard
A KPI dashboard shows active bids, lots won, watched lots and recent bid activity, alongside recommended consignments and notification preferences.
Contracts and settlement
Contracts are rendered in the browser and signed digitally. Each contract moves through Pending Buyer Signature, Buyer Signed and Completed, and finished documents can be downloaded or printed from a dedicated PDF layout. The Buyer Settlement Center shows what is owed for each purchase.
Key Features: Representative Portal
Field representative management
Field reps onboard new lots from sellers, upload photos and videos, enter sale details and preview exactly how their lots will look in the catalog. During the sale they can follow the live auctions for their consignments. The Rep KPI dashboard shows total sales volume, lots consigned versus sold, head count marketed and estimated commission. An urgent action tracker highlights upcoming deadlines, and reps manage their own buyer and seller contacts, local marketing entries, settlements and reports.
Key Features: Administration
Auction house command center
The admin portal is the control centre of the business. Administrators build catalogs and assign lots, approve lots and review uploaded videos before they go public, and manage buyers, sellers, reps and their permissions. They run live auctions, record manual or offline sales, and manage contracts, settlements, buyer invoices, seller payouts and a full transaction audit log. Marketing tools cover promotional entries, a banner scheduler for the home page and catalog, and trusted partner logos. Admins also publish market reports, generate sales and user reports, and run batch operations for bulk processing.
Key Features: Auction Rules, Trust and Logistics
Auto-extend and Buy-It-Now
If a bid arrives in the last 30 seconds of an online auction, the auction extends by 2 minutes, so lots are not lost to last-second sniping. The platform tracks how many times each auction is extended and notifies bidders when the end time changes. Sellers can also set a fixed Buy-It-Now price, which ends the auction immediately and notifies other bidders that the lot has sold.
Messaging and notifications
Buyers, sellers and auctioneers can chat in real time over WebSocket and share images and documents, while personal contact details stay private. Push, SMS and email notifications cover auction start and end, outbid alerts, lots sold and contract updates, with preferences set by each user.
Ratings and trust
Buyer and seller ratings, transaction history, delivery performance and a trust score help participants deal with confidence, with verified account status where required.
Transport and health documents
Veterinary health certificates and travel permits are kept with the sale. Pickup and delivery scheduling, transporter management, delivery time slots, live transport tracking and OTP-based delivery confirmation carry the process through to the cattle arriving.
Multi-tenant foundation
Auction businesses can sign up and get their own subdomain, with their data kept separate through row-level security. Each tenant configures its own settings, auction rules and commission structure, and a Super Admin panel manages all tenants. This lets the platform be offered to many sale barns, not just one.
Technology Stack and Architecture
In plain terms
The platform is a fast web application that buyers, reps and auction staff open in any browser. Large lot videos are stored in the cloud and automatically converted into a format that plays smoothly on phones and computers, then delivered from servers close to each viewer. Bids, messages and announcements update live, without refreshing the page.
For technical readers
The frontend is built with React 19 and TypeScript on Vite, with React Router DOM v7 for routing and Tailwind CSS v4 alongside CSS Modules for styling. Application state such as authentication and toasts is handled through the Context API. Contracts are rendered with react-pdf and signed with react-signature-canvas, lot videos play through react-player, and sweetalert2 handles confirmations. Media is stored in Amazon S3, transcoded in the cloud to MP4/HLS and delivered through a CDN. Real-time messaging uses WebSocket.

Implementation Approach
Learning the sale ring
The platform was designed around how cattle auctions actually work. Terms such as consignments, per-CWT pricing, floor bidder numbers, clerking and SOLD, PASSED and NO SALE outcomes went straight into the screens and data.
Designing a portal for each role
Public visitors, buyers, reps, admins, auctioneers and clerks each got a workspace built for their job, with permissions that control what each can see and do.
Building a media pipeline first
Because buyers judge cattle by video, upload, transcoding and CDN delivery were treated as core infrastructure rather than an add-on.
Keeping the live auction in sync
The auctioneer console, clerk entries, buyer consoles and TV display all show the same lot, price and status in real time.
Planning for many auction houses
Tenant onboarding, subdomains, row-level data isolation and per-tenant rules and commissions were designed so the platform can serve more than one business.
Challenges and Solutions
Heavy video from the field
Reps record lots on phones in large, mixed formats. Uploading to S3 and transcoding to MP4/HLS gives buyers smooth playback on any device and connection.
Mixing floor and online bids
Clerk Mode records floor bids with a bidder number on the same ledger as online bids, and Undo Last Bid fixes errors without stopping the sale.
Last-second bidding
Auto-extend adds time when late bids arrive and tells every bidder, so the highest genuine bid wins.
Trust between strangers
Buyer approval, buyer numbers, ratings, trust scores and private messaging help buyers and sellers who have never met do business safely.
Closing the sale quickly
Digital contracts with e-signature, settlements and generated PDFs replace paper, so the post-auction process is completed online.
Business Value and Expected Impact
The platform is designed to deliver these benefits for auction businesses that adopt it:
A wider pool of buyers
Approved buyers can watch, bid and buy from anywhere, removing geographic barriers.
Better prices for sellers
More bidders compete and automated anti-sniping protection ensures true market value.
Faster, more accurate sale days
Floor and online bids are recorded simultaneously in one live console and synchronized ledger.
A quicker close
Contracts, e-signatures, settlements and invoicing documents are handled immediately online.
More productive reps
Consignments, video media, commissions, KPIs and sale deadlines all live in one dedicated portal.
New revenue streams
Rotating sponsor banners, marketing entries, and multi-tenant subscriptions are built directly in.
Use Cases and Ideal Customers
Built for
Livestock auction markets and sale barns, online cattle marketing companies, video auction businesses, and order-buyer and rep networks that market cattle for ranchers.
The same approach can serve
Auctions for other livestock such as sheep, goats, horses and hogs, farm equipment and machinery auctions, and any marketplace that needs live bidding, rich media and contracts in one platform.
Future Opportunities
Native mobile apps for buyers and reps
Integrated online payments for buyer invoices and seller payouts
Price trend analytics built from past sale results
Integration with livestock traceability and ear-tag systems
Conclusion
The Cattle Auction Web Application started with a familiar problem: auctions limited by distance, heavy video that buyers could not watch, and a sale-day process held together by paper. The answer was one platform with a portal for every role, a cloud media pipeline for lot video, a live auctioneer and clerk console, and digital contracts and settlements. Built as multi-tenant software, it can serve many auction businesses, not just one.
If your marketplace or auction business still runs on phone bids, paper contracts and disconnected tools, a purpose-built platform can turn them into one live, trusted system.
